This Privacy Policy explains how we collect, use, store and disclose personal information, and outlines the rights you have in relation to that information. By using our website at higherstandardcoaching.online or engaging our services, you agree to the practices described in this policy.
2. The Australian Privacy Principles
We are bound by the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) contained within it. The APPs govern how personal information must be handled by Australian organisations. Wherever we collect, hold, use or disclose personal information, we do so in accordance with the APPs and this policy.
3. The kinds of personal information we collect
The personal information we may collect includes:
- Your name and email address;
- Your suburb or general location within Victoria;
- Details you provide when submitting an enquiry or requesting a quote through our website;
- Coaching-related information you choose to share with us, which may include your health and wellness goals;
- Records of our communications with you, such as emails and session notes; and
- Technical information about your visit to our website, such as pages viewed, browser type and device type.
We only collect personal information that is reasonably necessary for one or more of our functions or activities.
4. Sensitive information, including health information
Because we operate in the health and wellness field, you may choose to share information about your health, fitness or wellbeing with us. Under the Privacy Act, health information is classified as sensitive information and attracts additional protections. We will only collect sensitive information with your consent and where it is reasonably necessary for providing our coaching services. We will not use sensitive information for any purpose you have not agreed to.
5. How we collect personal information
We collect personal information in the following ways:
- Directly from you — when you complete a form on our website, send us an email, request a quote, or communicate with us during a coaching session or consultation;
- Automatically — through cookies and analytics tools when you browse our website (see section 10); and
- From third parties — only where you have authorised a third party (such as a workplace engaging us on your behalf) to provide your details to us.
Where it is lawful and practicable, we will also provide you with the option of dealing with us anonymously or using a pseudonym, such as when making a general enquiry about our services.
6. Why we collect, hold, use and disclose personal information
We collect, hold, use and disclose personal information for purposes including:
- Responding to your enquiries and providing requested information;
- Preparing and providing quotes for our coaching services;
- Planning, delivering and evaluating health and wellness coaching programs;
- Managing our client relationships and administrative records;
- Improving our website, services and client experience; and
- Complying with our legal and regulatory obligations, including record-keeping and taxation requirements.
We will not use or disclose your personal information for any secondary purpose unless that purpose is related to the primary purpose set out above, you have consented, or we are permitted or required to do so by law.
7. Disclosure of personal information
We do not sell, rent or trade your personal information. We may disclose personal information to third parties in limited circumstances, including:
- Service providers who assist us to operate our business, such as website hosting, email delivery, scheduling and payment providers, where those providers handle information on our behalf and under confidentiality obligations;
- Your employer or sponsoring organisation, where we have been engaged to deliver workplace wellness services and only with your knowledge;
- Professional advisers such as accountants or auditors, where reasonably required; and
- Government agencies, regulators, courts or law enforcement bodies, where disclosure is required or authorised by law.
8. Overseas disclosure
Some of the service providers we use may store or process information on servers located outside Australia. Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure that the recipient handles that information in accordance with the APPs, or that the recipient is subject to a scheme or obligations substantially similar to the APPs.
9. Security of personal information
We take reasonable steps to protect the personal information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include restricting access to personal information to staff and contractors who need it to perform their duties, using password protection and secure storage systems, and retaining personal information only for as long as it is reasonably necessary for the purposes outlined in this policy or as required by law. When personal information is no longer required, we take reasonable steps to destroy or de-identify it in a secure manner.
10. Cookies and website analytics
Our website may use cookies and similar technologies to improve your browsing experience and to understand how visitors use our site. Cookies are small files stored on your device. You can configure your browser to refuse cookies or to alert you when cookies are being used; however, some parts of the website may not function fully if cookies are disabled. Analytics information we collect is used in aggregate form and is not used to identify you personally.
11. Access to and correction of your personal information
You have a right to request access to the personal information we hold about you and to request corrections where you believe the information is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please email us at ceo@higherstandardcoaching.online. We will respond to your request within a reasonable period. There is no charge for making a request, although we may charge a reasonable fee for providing a copy of the information in certain circumstances. In some situations permitted under the Privacy Act, we may decline a request for access; where we do so, we will provide you with written reasons and information about available complaint mechanisms.
12. Direct marketing
We may use the personal information you provide to send you updates about our services, programs or events where you have consented to receive such communications or where it is otherwise permitted under the Privacy Act and the Spam Act 2003 (Cth). Every marketing communication we send will include a simple way to opt out, and you may also opt out at any time by emailing ceo@higherstandardcoaching.online. Once you opt out, we will not send you further marketing communications.

Complaints can be made in writing to ceo@higherstandardcoaching.online. We will acknowledge your complaint and aim to provide a substantive response within a reasonable period.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) via its website at www.oaic.gov.au.
